Canada Clean Fuels (CCF) is looking for a Payroll and HR Administrator with 3-5 years of experience in a human resources capacity in the transportation sector. A successful candidate demonstrates resilience in a transportation environment, has a hands-on approach with CCF frontline and internal staff, and will conduct end to end payroll activities by using our in-house system – Avanti in a timely and accurate manner. Payroll and HR Administrator will need to perform administrative, as well as comply with all local, provincial and federal regulations for Payroll and HR.
Responsibilities:
- Primary responsibility for payroll processing, including; bi-weekly payroll, bonus/incentive pay, tracking vacation/sick pay, inputting exceptions, hourly employee validations, and benefit changes
- Process bi-weekly payroll and monthly commissions, pay increases, bonuses, taxes and deductions for all salaried and hourly employees in the organization.
- Prepare bi-weekly, monthly, and yearly reports to relevant departments about payroll, completes Journal entries for finance.
- Prepare, calculate, remit and reconcile all payroll source deductions, WSIB, EHT, DPSP/RRSP, FRO, Garnishments etc.
- Processes ROE’s with Service Canada, T4s, T2200’s, and Automobile Benefits for tax purposes.
- Conduct quarterly audits of all payroll records.
- Prepare and maintain employee contracts, complete hiring packages, policy signoffs
- Enroll / terminate employees, document, and maintain all dispersed company paperwork in the applicable systems.
- Report to department supervisor regarding daily activities and issues. Address and resolve employee inquiries and complaints relating to the payroll system.
- Collect and verify time sheets on payroll system. Liaise with Managers to reconcile driver hours for payroll processing.
- Develop relationship with CCF outsourced payroll and HR service providers.
- Assist in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contributes to the development of policies
- Assist in the end to end recruitment and onboarding process for new hires
- Handle all administrative tasks for onboarding (providing employees with assets including fob key and gas cards), new hire orientation, and exit interviews, including entering data into HR information systems and auditing for accuracy and compliance.
- Asset control of our inventory (laptop, cell phones)
Requirements and Qualifications:
· A minimum of 3 years of experience administering full-cycle in house payroll and HR function for a medium-sized business.
· Experience in trucking / transportation industry or with managing payroll of hourly employees with varying hours is preferred, but not required.
· Post-secondary education in a related field and Payroll Compliance Practitioner (PCP) designation, or an equivalent combination of education and experience.
· Experience with Sage 50, Avanti (in-house system) or similar experience
· Excellent written and verbal communication skills. HR and Payroll Administrator proactively communicates relevant payroll and HR-related policy updates to employees.
