Responsibilities:
- Administrative Support: Provide high-level administrative support to the Group Editor and CEO, including managing calendars, scheduling meetings, arranging travel, and handling correspondence.
- Communication Management: Act as a primary point of contact for internal and external stakeholders, screen incoming communications, prioritize requests, and relay messages effectively.
- Meeting Coordination: Organize and coordinate meetings, conferences, and events, prepare agendas, take minutes, and follow up on action items to ensure deadlines are met.
- Document Preparation: Draft, proofread, and edit documents, presentations, reports, and other materials as needed by the Group Editor and CEO.
- Project Management: Assist in managing projects, initiatives, and special assignments, coordinate cross-functional teams, track progress, and provide updates to senior management.
- Information Management: Maintain confidential information, files, records, and databases, ensure data accuracy, and handle sensitive information with discretion and confidentiality.
- Office Management: Oversee office operations, including supplies inventory, equipment maintenance, office space management, and coordination of administrative tasks.
- Relationship Building: Build and maintain positive relationships with stakeholders, clients, partners, and team members on behalf of the Group Editor and CEO.
- Research and Analysis: Conduct research, gather data, and prepare reports or presentations on industry trends, competitors, market analysis, and strategic insights.
- Executive Support: Provide support to the Group Editor and CEO in strategic planning, decision-making, and execution of key initiatives, including liaising with senior executives and board members.
Qualifications:
- Education: Bachelor's degree in business administration, communications, or a related field. Additional certifications in executive assistance or office management are advantageous.
- Experience: Proven experience as an executive assistant, administrative assistant, or similar role supporting senior executives in a corporate environment.
- Organizational Skills: Strong organizational and multitasking abilities to manage multiple priorities, meet deadlines, and coordinate complex schedules and projects.
- Communication Skills: Excellent verbal and written communication skills to interact professionally with diverse stakeholders, compose clear and concise correspondence, and represent the executive's office.
- Attention to Detail: Meticulous attention to detail in document preparation, scheduling accuracy, meeting logistics, and data management.
- Discretion: Ability to handle confidential information with discretion, maintain confidentiality, and exercise sound judgment in sensitive situations.
- Problem-Solving: Strong problem-solving skills to anticipate issues, proactively resolve challenges, and find efficient solutions to support the executive's responsibilities.
- Adaptability: Flexibility to adapt to changing priorities, work under pressure, and thrive in a fast-paced and dynamic work environment.
- Technology Proficiency: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), calendar management tools, and other office productivity software.
- Professionalism: Professional demeanor, integrity, and a proactive approach to supporting the executive's goals and priorities.
