POSITION SUMMARY
Reporting to the Manager of Compensation & Benefits, the HR Coordinator plays an integral role within the People, Culture & Diversity department supporting day-to-day Human Resource operations. This job acts as an advisor to all levels of the organization - employees, managers, directors and senior leadership and will utilize their knowledge and expertise to provide a customer-focused approach when responding to and actioning inquiries.
The HR Coordinator works independently and collaboratively to deliver a broad range of HR Services including but not limited to: employee life cycle administration from of hire to termination and/or retirement, employee onboarding, group benefits administration, leave of absences administration, records management, pension management, while ensuring compliance with Employment Standards Act, applicable collective agreements and hospital policies.
QUALIFICATIONS
- Minimum two-year College Diploma in Human Resources Management, Business or related field required
- Bachelor Degree in Human Resources Management, Social Sciences or Business preferred
- CHRL, CHRP in progress preferred
- Three to five years related experience in Human Resources, with demonstrated experience working within HR and Benefits Administration in a highly unionized environment
- Proficiency in a HRIS system and Payroll environment
- Ideal candidate has an aptitude for learning various computer applications (i.e. Infinium, Taleo, Parklane, Pension and Benefit carrier systems
- Strong knowledge, understanding and ability to understand and apply rules and regulations in accordance with contracts and individual union collective agreements, applicable legislation and organizational policies
- Ideal candidate will possess a high degree of sound judgement, professionalism, diplomacy and ability to handle confidential and/or sensitive information
- Excellent communication, interpersonal, critical thinking, judgement, organizational, collaboration and critical analytical skills combined with an ability to balance multiple tasks, independently source information, meet tight deadlines and balance conflicting priorities in a fast-paced, dynamic environment

RESPONSIBILITIES
Some key responsibilities/duties include:
- Plan, prepare and implement onboarding documentation for new hires via Request for Staff through accurately determining and assigning appropriate employees ID, vacation codes, pay authorization groups, benefit entitlement/short-term sick/LTD effective dates and appropriate corresponding forms
- Determine entitlements and implements seniority, service, pay rate, pay authorization, vacation accrual, union and benefit, life and LTD impacts, by reviewing and interpreting the appropriate Collective Agreements and Policies
- Process internal transfers within the organization and provide instructions to payroll to facilitate such transfers
- Initiates new hire input into HRIS (Infinium) by entering assigned codes, jobs rates, banking and personnel information, benefit codes, pay-authorization groups within the tight pay deadline timelines and verifies accordingly
- Determine entitlements in relation to terminations
- Plan, prepare and process benefit enrollment data in HRIS system
- Counsel and provide employees with direction and guidance on Benefit plan documents, enrollment rules, eligibility requirements and premium information
- Determine impacts and calculations to employee’s seniority, service, rate and benefits as it relates to return from leaves or former position and communicate the impacts to employee
- Implement and maintain appropriate HOOPP enrollments, which includes: status changes, terminations, leave commencement and leave completion
- Implement early retirement offers by determining, identifying and processing benefit impacts, salary continuances, payments of voluntary and early retirement separation offers
- Investigate, advise, resolve and respond to inquiries or complaints that come through telephone, email and walk-ins from 5,000+ St. Joseph’s employees as it pertains to onboarding, benefits, short term sick, leaves, long-term disability, seniority, service, vacation, internal transfers and terminations
- Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested, including, but not limited to: grievance investigations, provide support for various implementations such as settlements, arbitration awards, collective agreement renewals, benefits renewals
- Aid and support for large strategic HR projects as needed
- Provide assistance and support for team vacation coverage
- Other duties as assigned
