Job Title: Payroll Administrator

Time Commitment: The Payroll Administrator will be required to work 37.5 hours per week, Monday through Friday with the possibility of working additional hours depending on program needs.

Objective: The Payroll Administrator processes Mission Services’ bi-weekly payroll for approximately 195 union and non-union employees. The Payroll Assistant provides reports for both internal and external sources, so attention to detail and accurate information gathering is required. This position must follow appropriate Mission Services’ policies, the collective agreement, and legislation to ensure accurate payment of employees.
Responsibilities and Duties:
- Process the full cycle payroll in accordance provincial legislation and collective bargaining agreements, using ADP Workforce Now.
- Ensure all electronic and physical employee payroll and human resource data is kept up-to-date, maintained, and safely secured
- Issue employee Records of Employment as needed
- Complete, verify, and process forms and documentation for administration of payroll such as RRSP, leaves, and benefits
- Calculate and provide payment information to the Finance department all regulatory and other payroll deductions
- Prepare payroll based month end, year end, and ad hoc reports
- Prepare T4 statements and other statements in ADP Workforce Now
- Provide timely responses to information requests on payroll matters
· Accurately file all electronic and paper copies of reports and payroll information
· Ensure adherence to all employment legislation including, but not limited to, Employment Standards Act, Ontario Human Rights Code, Accessibility for Ontarians with Disabilities Act etc.
· Adhere to a strict policy of confidentiality
· Work safely, identify any health and safety concerns and report to management
· Follow Mission Services’ workplace health and safety policies and procedures at all times

Qualifications:
a) Education
· Diploma in Business, Administration or Payroll, or equivalent work experience
· Payroll Compliance Professional Certification (PCP) an asset
b) Experience
· Preference for one to three (1-3) years of previous experience in Canadian payroll
· Experience using ADP Workforce Now an asset
· Experience in a unionized environment an asset
c) Knowledge
· Understanding of how to prepare financial reports
· Demonstrated understanding of employment and payroll related legislation, including Employment Standards Act, Income Tax Act, etc.
· Working knowledge of Human Resources Information Systems
d) Skills
· Strong oral and written communication skills

e) Abilities
· Ability to prioritize tasks and respond to interruptions and competing deadlines

Nature and Scope:
a) Contacts
· Frequent contact with People, Culture and Communication, Finance and Development Departments
· Some contact with staff from other departments
· Some contact with Mission Services volunteers, donor and community partners
b) Level of Responsibility
· Responsible for preparing financial reports in a timely manner
· Responsible for checking employee timecards for accuracy
· Responsible for payroll process, noting any errors in payroll report and rectifying these errors
· Responsible for managing confidential data
c) Decision-Making Authority
· Decision to make changes to employee timecards when errors are noted
d) Working Environment
· Required to sit for extended amounts of time while using visual concentration to complete spreadsheets, data entry, payroll, checking lists etc.
· Working in an open office environment
· Work hours will regularly need to be extended due to strict payroll deadlines
· Will be required to respond to expected and unexpected interruptions (ex. issues with payroll, phone calls, emails etc.)
