Position:
Payroll Administrator
Wills Transfer Limited – 146 Hwy 15, Smiths Falls, Ontario
Reports to:
Human Resources Manager
Position Summary:
The position is responsible for a variety of payroll functions, coordinating, support and administering the payroll system - Dayforce. Being back up for employee group benefit plan.
Payroll responsibilities will include salary and hourly bi-weekly payroll, maintaining payroll system and employment records, monitoring timeclock system and data, printing payroll reports, processing garnishments and wage attachments, and inputting journal entries for accounting. Benefit responsibilities will include backing up the administering and coordinating employee benefits programs including health, extended health, dental, life insurance, STD and LTD and Pension.

Position Responsibilities:
· Business decisions will be made in line with Wills Purpose and Values.
· Updates and maintains payroll system by maintaining records on all employees in regards to compensation (regular, overtime, incentives, sales commissions, other) hours, paid time off, and holiday usage.
· Maintains and secures all payroll, benefits and timecard databases and hard copy files by ensuring that all necessary information is entered correctly, in a timely manner, and updated as needed.
· Creates and prepares custom and standard reports for key people metrics for the business to analyze information.
· Completes and processes hourly and salary payroll according to schedule. Ensures payrolls are accurate and timely, entering correct data for time off, deductions, and withholdings/taxes. Checks information with timecards to ensure accuracy.
· Prepare and process all year end adjustments.
· Process any bonus process and commission payments.
· Prepares payroll entries and month-end payroll and commission accruals and posts to general ledger.
· Welcomes new team members by providing and processing new hire paperwork as necessary, establishing payroll/time system account and process as required. Ensures all employment forms (government and internal company) are completed accurately.
· Maintains PTO (paid time off) and sick leave reports, coordinates time off requests and the employee time off calendar.
· Responsible for maintenance of payroll system(s) and time system by working with Ceridian / Dayforce and IT to process updates, upgrades, and other required maintenance.
· Reconciles monthly payroll deductions, such as garnishments, medical premiums, and RRSP deductions (Pension Plan). Ensures compliance with garnishment requirements and regulations.
· Assists with reconciliations related to payroll and benefits.
· Creates and maintains personnel files and ensures that all documentation is accurate and up to date. Ensures strict confidentiality is maintained and that employee data and information is secured and protected at all times.
· Responds to requests for employment verifications and payroll and benefit enquiries.
· Understands and is familiar with the role of the Benefits Administrator and provides back-up as required.
· Develop and foster a culture and work environment that is safe, respectful, positive, rewarding, and meaningful.
Education, Experience and Qualifications:
· Post secondary education, related Diploma / Degree or related experience.
· Payroll certification / designation.
· 5-7 years related experience in Payroll / Benefits Administration.
· Knowledge and experience with the following software - Outlook, Excel, Word, Powerpoint, Filehold, Dayforce (Ceridian) and Microsoft D365.
· Able to secure Secret Level II Security Clearance.
· Excellent verbal and communication skills.
· Superior Excel and reporting skills.
· Develop and analyze payroll and benefit reports.
Working Conditions and Physical Requirements:
· Office work environment.
· Manual dexterity to use a desktop computer.
· Ability to attend and conduct meetings in person or virtually (Microsoft Teams, Zoom etc.)
· Some regional travel may be required.
Compensation:
Very competitive wage and benefit package.
