Financial Assistant Responsibilities:
The Administrative Assistant is responsible for supporting Accounts Receivables, QuickBooks management, data entry, bookkeeping, and overseeing student aid applications. This role involves preparing accurate paperwork for admissions and onboarding students, conducting exit interviews, and ensuring compliance reports are accurate. Attention to detail is essential.
Key Responsibilities:
- Maintain potential student files until their program commences and provide ongoing support throughout their program duration.
- Develop and manage a database for tracking potential students.
- Organize and register individuals completing preparatory courses before the start of a new class, in consultation with management and the Academy Dean
- Advise all departments on student enrollment before the start of each new class.
- Handle QuickBooks entries and accounting related to student matters.
- Assist with financial or student issues, including student loans and financial aid applications.
- Enter tuition disbursements and create tuition payment schedules.
- Oversee Accounts Receivables for student tuitions.
- Conduct final student exit interviews to ensure all necessary documents are provided.
- Print diplomas, certificates, transcripts, and send acceptance letters to approved students.
- Bookkeeping
- Organize and archive graduated students in the Master Class list and prepare T2202 tax receipts for all students.
- Perform other duties as assigned.
Qualifications:
To succeed in this role, candidates must:
- Possess a minimum of 2 years of administration/ Accounting experience (preferred).
- Have at least 1 year of administration experience
- Demonstrate competency in customer service, oral communication, managing people, diversity awareness, ethics, organizational support, adaptability, attendance/punctuality, dependability, judgment, planning/organizing, professionalism, and safety and security.
- Be comfortable working in a team environment and sharing personal space with colleagues and students.
Work Environment:
The work environment may involve occasional lifting of up to 25lbs/12kg and close interaction with colleagues and students.
