Purpose:
The Administrative Support Assistant role supports the Chair and Operations Manager with several key functions including academic appointments, tenure and promotion process. The role also supports department committees and the coordination of conferences/colloquia/ events.
Education:
College Certificate with training in administrative procedures or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.
Experience:
Two (2) years' related secretarial and administrative experience including support for committees and academic processes.
Skills:
Typing 40-45 w.p.m., accuracy essential
Working knowledge of on-line computerized records systems such as academic resource management and CUPE Hiring and content management systems
Ability to learn to use new software applications.
Demonstrated skills/ability in the following areas: Intermediate word-processing in a Windows environment. Intermediate computerized spreadsheet skills. basic MS Access and experience working with a student information system or similar online database.
Effective customer service skills
Effective communication skills to elicit and provide accurate information in a clear and concise manner
Good written communication skill
Ability to exercise tact and diplomacy while maintaining confidentiality
Demonstrated ability to work independently and in a team environment.
Ability to exercise good judgment and initiative
Excellent organizational skills including setting priorities and working effectively under pressure of high volume and moderate interruptions
Accurate attention to detail
Basic social media skills to post content on platforms such as Facebook
Working knowledge and experience with event planning and coordination of logistics including creating online forms
Working knowledge of video-conferencing applications
