Duncan Family Docs has an opportunity for a Medical Office Assistant who has experience in a multi-physician medical clinic.
This role will ensure that the patient interface runs smoothly and is responsive to the urgent requirements that arise in a medical clinic.
Duncan Family Docs is a multi physician family practice situated in North York. We are a full spectrum fast paced family practice servicing over 6500 patients from newborns to the elderly. We are affiliated with the North York Family Health Team working alongside Nurses, Social Workers, Dieticians and Pharmacists. We are affiliated with the Department of Family and Community Medicine at the University of Toronto teaching medical learners at all stages of training.
Knowledge and familiarity with Accuro Electronic Medical Records (QHR) and Medeo secure messaging would be an asset.
The Medical office Assistant shall report to the managing physician with the primary responsibility for: Office administration, physician support and human resources .
Key Accountabilities:
Patients
o Answer phones: screen/triage incoming calls, retrieve and manage voice mails in timely manner
o greet/register patients
o create/update patient charts
o verify/update patient demographics, health card numbers, email address
o escort patient to exam room, prepare room/patient, as requested
o assist with patient vitals, urine checks, pregnancy tests, blood pressure checks, etc.
o book consults with specialists/DI tests, etc. on behalf of patients
o call patients / inform of specialist appointments and appt. details/preparation instructions
o coordinate scheduled preventative care (flu, pap, mammograms, immunizations) – letters/phone calls to patients, reconcile lists
o book, reschedule, cancel patient appointments
Office Administration
o update doctors schedule (ie, vacation, absence, After Hours Clinics, etc.)
o schedule after hours clinic appointments from 4:00-5:00 when our office is on call
o co-ordinate schedule for medical residents/clerks, students
o Create and manage staff schedules
o Ensure that staff are trained and coached on all office procedures and systems
o Faxes/Mail
- process, scan, deliver incoming/outgoing mail
- process courier requests
- process fax/scan requests
- document management
o Telephones:
- answer phones: screen/triage and return phone calls
- retrieve and document telephone messages, forward voice messages to appropriate staff,
- confirm appointments for Physicals (Periodic health Review), prenatal appointments, as requested·
o prepare new invoices/record payments/issue receipts – annual fees, 3rd party coverage, uninsured services, private patient, med/legal, insurance, chart transfers, etc.
o prepare and process supplier invoice payments
o process visa/debit payments
o follow-up OHIP billing/errors/rejection, etc. as per doctors instruction
o validate/inquire re HCN (Health Card Number) version codes
o reconcile outstanding 3rd party/patient invoices - notify patients, etc
o order office/medical supplies ensuring appropriate inventory levels
o receive deliveries and re-stock inventory in supply cupboards
o restock and tidy exam rooms
o follow infection prevention procedures ( cleaning rooms)
o assist doctor with procedures, as required
o utensil sterilization – autoclave
o record vaccine fridge temperatures
o liaise with pharmaceutical Reps – order drug samples, process expired samples, contact doctor for signatures
EMR Administrator
o lead user with unique permissions (e.g. maintain address book, billing codes, reporting, etc.)
o report/troubleshoot software issues with Accuro helpdesk
o work with IT rep to manage users
o provide timely and informative reports, as required for statistical/reporting purposes

Qualifications
To be successful in this role you should have :
- Knowledge of medical terminology
- Experience/familiarity OHIP and Third party billings (an asset)
- Experience with high volume medical practice
- Experience working with highly sensitive and confidential patient information
- Experience/familiarity with medical software / Medeo / OTN / ECHN / OCEAN (an asset)
