Job Summary
To support and contribute to ensuring the smooth operation of the Finance Department’s day-to-day processes in addition to achieving goals established by the Clinton Cooperative Childcare Centre Board.
Duties and Responsibilities
Financial Administration
- Alongside the Financial Administrator, coordinate the flow of data;
- Supports the Financial Administrator with various reports, documentation and data entry;
- May assist with documents and maintains department procedures and filing;
- Assist with yearend financial review;
- Alongside the Financial Administrator, the Associate is accountable for weekly bank deposits, receipting and recording on behalf of the Company as required;
- Maintains authority, in collaboration with Financial Administrator, of Company bank account;
- In collaboration with the Financial Administrator, accepts and processes all Company EMT payments for childcare and fundraising;
- May assist with Accounts Receivable;
- If required, communicates overdue and outstanding payment notice to clients as needed;
- Assumes back-up payroll processing duties as required;
- In collaboration with the Financial Administrator, bills new and annual membership fees on a monthly basis;
- Maintains oversight of petty cash, including reconciling and updating records on a monthly basis for Clinton and Goderich locations; the Financial Administrator will assist as needed
- Alongside the Financial Administrator, the Associate will complete Accounts Payable entries and payments;
- Prepares cheques; has signing authority after 3 month probationary period is complete;
- Assists Financial Administrator with all tasks as required;
- Alongside the Financial Administrator, receive and process County Fee Subsidy letters and associated receivables and reconciles and distributes payments as required ;
- Assists the Assistant Supervisor with fundraising, including but limited to counting money, tallying orders, balancing orders;
- May assist with credit card statements and reconcile with any associated documentation, and processes credit card bills on a monthly basis;
- May assist with bank reconciliations and balancing accounts, monitoring bank accounts and term deposits.
Administrative
- Attends Annual General Meeting and monthly staff meetings;
- Reads, adheres to and signs off annually on any required Policies and Procedures.
- Supports Leadership Team as required.
Customer Service
- Assists Assistant Supervisor with Parent Committee by maintaining record of parent involvement and accurate records as required;
- Responds to client billing inquiries by phone, email, and in person as needed in the absence of the Financial Administrator.
General
- Works as a positive team member;
- Maintains positive and professional relationships with families;
- All other duties as assigned;
- Supports in program/kitchen as required;
- Assist with updating and maintaining children’s electronic files as needed for all site locations;
- All other duties as assigned/required;
- In the absence of the Financial Administrator completes their tasks.
Qualifications
- Must possess a strong customer service, bookkeeping and computer skills.
- Proficiency utilizing MS Office products, including Excel.
- Experience with Accounting Software programs.
- Experience with payroll processes considered an asset including familiarity with ADP (Automatic Data Processing)
- Must possess and maintain First Aid and CPR certification including infant and child CPR.
- Must maintain a Clear Criminal Record and Vulnerable Sector check.
- Required to maintain immunizations and be free of all communicable diseases.
Working Environment
- This position requires an employee to work indoors in a temperature controlled office space.
- Regular interruptions requiring the ability to change priorities quickly.
Physical Skill and Effort
- A typical workday consists of low physical effort for activities such as:
- Intermittent periods of keyboarding to process documents, entering of data and updating financial records.
- Must be able to work on a laptop computer for extended periods of time with access to a large monitor, laptop riser, keyboard and mouse.
- Regularly required to sit at a desk for extended periods of time.
Job Type: Part-time
Pay: $21.28-$27.97 per hour
