Administrative Assistant (Reception)

Vionell Holdings Partnership (VHP) is one of the largest licensed property management firms in Manitoba. We proudly serve over 3,500 residential rental customers and condominium owners.
Position Summary
The Administrative Assistant is responsible, under the direction of the Vice President of Operations for administrative duties to allow the company to operate efficiently and effectively.
Tasks
Answer incoming phone calls and forward or respond as necessary. (Provide information about available rentals and application status)
Greet incoming visitors/tenants to the office
Receive, open, and date stamp and forward incoming mail items.
Arrange for outgoing mail
Check, return voicemail, forward if applicable
Process debit transactions accurately, close of debit machine daily
Assist tenants by directing their customer service concerns appropriately
Receive and receipt security deposits, rent, late fees, and parking as well as NSF fee payments accurately.
Confirm, process and record returned payments, follow up with customers, and notify property manager if account isn’t cleared up immediately.
Communicate with applicants in a timely manner re: approval, more information required, co-signer required etc., or if their application has been denied.
Filing – all correspondence with tenants in their tenant file, as well as all accounts payable in the payable folders.
Ordering office supplies online
Make sure there is fresh coffee/water available for when meetings are scheduled in the office/boardroom
Other duties as assigned
Skills and Abilities
VHP is looking for an experienced and enthusiastic person with the following knowledge and skills;
Exceptional customer service, time management and organizational skills
Excellent attention to detail and strong proof-reading skills
Able to work independently and in a team oriented environment
Ability to multi-task in a fast-paced deadline driven environment
Strong interpersonal, verbal and written communication skills
Possesses Intermediate to Advanced computer skills (proficient in Microsoft Word and Excel
Minimum 2 years office experience.
