Contract- Human Resources Administrative Assistant (Hybrid)–12-month contract
Location: Central Office -Hybrid
Duration: 12 months
Starting pay: $23/hrs + 4% Vacation
Hours: Part-time 24-32 hours, Monday-Friday

WHAT YOU WILL DO – ESSENTIAL RESPONSIBILITIES
As a key member of the Association's Human Resources Department, you will provide administrative support to ensure the smooth operation of the department.
Specific Duties and Responsibilities:Administrative Support:
- Provide administrative assistance to the Human Resources Department, including preparing and distributing materials, and performing other tasks as needed
- Serve as a point of contact for staff inquiries, maintaining confidentiality and handling sensitive information with discretion
Communication and Coordination:
- Foster effective relationships with diverse stakeholders, including students, staff, and external contacts, through clear and timely communication
- Coordinate logistics for various events, including interviews, meetings, internal training sessions, student placements, and new hire orientations
- Manage the recruitment process, including completing reference checks, requesting documentation, and responding to emails in a timely manner
- Assist in preparing meeting minutes, reports, and other materials as required
- Post job openings, screen candidates, and present suitable candidates to hiring managers
Record Management:
- Maintain a secure and organized filing system, ensuring easy access to physical and digital documents, ensure items are filled in a timely and accurate manner
- Ensure accurate and up-to-date records, including data entry tasks, and perform regular audits to maintain data integrity
Operational Support:
- Stay informed about organizational priorities, seeking clarification as needed, and adapt to changing departmental needs
- Participate in special projects, committees, and other assigned tasks to support the Human Resources Department and contribute to the overall organization success
- Provide support for employee onboarding ensuring a smooth transition for new staff members
WHAT YOU WILL NEED (QUALIFICATIONS)
- Relevant Degree, Diploma or equivalent education and/or experience (Business Administration, Communications, Human Resources)
- A minimum of one to three years of proven experience in similar role
- General understanding of disability issues, resources and legislation relevant to supporting people with an intellectual disability, including Human Rights
- Well-developed technological skills; intermediate or higher computer skills (Word, Excel, Teams, Outlook);
- Fast learner and pays keen attention to details
- Ability to multi-task, problem solve and organize work schedules/tasks;
- Previous experience in the non-profit sector an asset;
- Strong planning, organizing and time management skills; ability to manage competing priorities
- Demonstrated resourcefulness and creative problem solving skills
- Strong listening, interpersonal and relationship building skills
- Self-motivated, ability to work on own initiative with minimal supervision
- Able to work successfully within a team
- The ability to speak fluent English and demonstrate effective verbal and written communication skills
- Able to take detailed minutes/notes
- Vulnerable Sector Screening
- Must be able to move, lift or push objects up to 5 lbs
- Able to lift, bend, reach above the head, kneel, crouch, and/or stretch during shifts up to 8 hours long
- Capable of moving up and down stairs
