- About the role:
We are seeking a detail-oriented and organized individual to join our corporate finance
team as a Bookkeeper and Payroll/Accounts Payable Manager on a full-time basis. In
this role, you will be responsible for maintaining accurate financial records and
managing accounts payable processes to ensure the smooth operation of our financial
activities. The ideal candidate will possess strong numerical skills, attention to detail,
and the ability to work efficiently in a fast-paced environment.
Responsibilities:
- Record financial transactions accurately in the general ledger, including accounts
- payable entries, expense reimbursements, and vendor invoices.
- Verify and reconcile vendor invoices with purchase orders and receivables documents to ensure accuracy.
- Process payroll in an accurate and timely manner for employees of the Canadian
- parent company and its US subsidiary, ensuring adherence to company policies
- and government regulations.
- Working with the People & Culture Coordinator, calculate and verify hours worked, overtime, vacation time, and other earnings or deductions.
- Maintain accurate records of employee wages, benefits, and taxes withheld, ensuring confidentiality and compliance with privacy laws.
- Assist with payroll-related reporting, including preparing payroll summaries, tax reports, and other financial documents as required.
- Process accounts payable invoices in a timely manner, including obtaining proper
- approvals, coding expenses to the correct accounts, and entering data into the
- accounting system.
- Prepare and process payments to vendors and suppliers, including wire transfers
- and electronic payments adhering to payment terms and deadlines.
- Maintain organized and up-to-date accounts payable files and documentation for
- audit purposes.
- Assist in month-end and year-end closing procedures, including preparing
- accruals and reconciling accounts payable balances.
- Collaborate with other departments and teams to ensure proper coding and classification of expenses and adherence to budgetary guidelines.
- Provide support to the finance team as needed, including assisting with financial
- reporting, analysis, and special projects.
Skills and Qualifications:
- Proven experience in bookkeeping and payroll/accounts payable manager roles,
- preferably in a corporate finance setting. Bachelor's degree in accounting, finance, or a related field preferred along with a certification in bookkeeping (e.g., CPB, AIPB or NACPB) is an asset.
- Strong understanding of accounting principles and practices, with the ability to
- accurately record financial transactions and maintain detailed records.
- Proficiency in using accounting software and MS Excel for data entry, analysis,
- and reporting.
- Excellent attention to detail and accuracy in all aspects of work.
- Proven ability to prioritize tasks and manage time effectively to meet deadlines.
- Strong communication and interpersonal skills, with the ability to work both independently and collaboratively in a team environment.
- Problem-solving skills and the ability to resolve issues independently.
- Knowledge of US payroll and the various differences between states is an asset
- Knowledge of financial regulations and compliance requirements related to accounts payable processes.
