We are a Thornhill-based financial advisory firm currently seeking an experienced, service oriented administrative assistant. The successful candidate will play a key role in our administrative functions, ensuring clear communication to our clients and assisting with smooth and efficient operation of daily tasks.
Essential Duties and Responsibilities:
- First point of contact, providing a welcoming and courteous experience for customers.
- Effectively managing incoming communications from clients and other partners.
- Impacting client experience through the execution of client account administration, including account opening, maintenance, investment transfers, and KYC updates.
- Assisting in overall portfolio management, including trade execution and processing security transactions and transfers.
- Placing trades on the proprietary platform in client investment accounts.
- Cash management, handling bank wires, EFTs, and cheques.
- Scheduling and appointment booking, managing the team's calendar.
- Assisting the team in welcoming and onboarding new clients.
- Keeping the filing system organized and updated, both in paper and electronic formats.
- Completing paperwork and materials for client meetings.
- Responding to client inquiries professionally and ensuring accurate documentation of interactions.
- Conducting weekly maintenance, including a dusting of office space.
- Performing general office and administrative duties as required.
Requirements:
- Understand important of compliance with established operating procedures and protocols.
- Must hold all client and business-related information in strict confidence.
- Excellent verbal communication skills.
- Strong organizational skills.
- Meticulous attention to detail.
- Proficient use of related computer software (outlook, teams, word and excel)
Qualifications and Skills:
- Post-secondary education.
- A year of administrative experience.
- Canadian Securities Course (CSC) as well as the Conduct and Practices Handbook (CPH) recommended; must be willing to complete the course within a year of employment.
- Familiar with financial industry concepts (mutual funds, RRSP’s, TFSA’s, insurance).
