We are a small bookkeeping firm committed to providing exceptional service to our clients. We are seeking a proactive and organized Accounting Administrative Support person to join our team. This role emphasizes administrative support tasks, including client communication, data gathering, document management and serving as the first point of contact for the company.
Key Responsibilities
Administrative Support:
- Answer phone calls, respond to emails & texts, and manage correspondence.
- Direct, organize and summarize all forms of communication
- Serve as the first point of contact for clients and callers, providing a positive and professional impression of the company.
- Outline what the company does and how it can help any business – some sales to give the caller a good feeling about the company and want to hire us
- Schedule appointments, meetings, training sessions, and maintain the team’s calendar.
- Maintain client due dates in the master calendar
- Prioritize workflow to meet deadlines
Client Interaction:
- Communicate with clients using all forms of communication to gather necessary information, documents, and signatures.
- Address client & colleague inquiries and resolve issues or direct them to the appropriate person.
- Maintain and update client contact information and records & due dates in the company software.
Document Management:
- Organize and maintain digital financial records and documentation.
- Prepare and process documents for signature, ensuring accuracy and completeness
System and Process Improvement:
- Assist in the implementation and maintenance of office and accounting software and systems.
- Identify opportunities for improving administrative processes and efficiency.
- Provide training and support to staff on office procedures and systems.
Qualifications:
- Professional demeanor with excellent verbal and written communication.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite (Excel, Word, and Outlook).
- High level of accuracy and attention to detail.
- Ability to handle sensitive information with confidentiality and discretion.
- Familiarity with QBO is a plus but not necessary (training provided).
- Willingness to learn and adapt to new situations and changes.
- Project management skills are an asset.
