We are currently seeking a versatile and proactive individual to fill the role of Administrative Assistant, specializing in payroll, timesheets, data entry, reception, and accounts payable assistance. In this multifaceted position, you will play a pivotal role in ensuring the smooth operation of our administrative processes, supporting various departments with your exceptional organizational and administrative skills.
Your key responsibilities
Receptionist:
As the Receptionist and first point of contact for the firm. If you are a driven workplace services professional who enjoys working in tandem with your colleagues while striving to understand and anticipate customer’s needs to exceed expectations.
Your key responsibilities also include:
- Greeting visitors: Receive & welcome visitors to the office in a professional, courteous manner
- Incoming calls: Answer queries and directs calls
- Light housekeeping: wiping down counters, emptying dishwasher, maintaining reception area
- Mail/courier: sorting, distributing documents & packages; preparing documents and packages for pick up or delivery
- Equipment management: Understand and operate office equipment, place service calls as needed
- Ordering, maintaining & distributing office supplies
- Assistance to colleagues: Assist Executive Assistants with administrative support tasks as time allows
Payroll Clerk
- Process payroll time sheets accurately and in a timely manner, ensuring compliance with company policies and regulations.
- Manage and reconcile timesheets and site docs safety documents, ensuring accuracy and completeness on a daily bases.Conduct data entry tasks with precision and efficiency, maintaining high levels of accuracy at all times.
- Manage Group Insurance New hires and inquiries
- Monthly payroll report set up to Payroll Administrator
- Report to Payroll Administrator
Accounting
- Accounting Clerk
- Match packing slips to incoming invoices and distribute to appropriate Project Manager for approval
- Match visa slips to incoming statements
- Prepare and perform cheque runs
- Set up ship to address for invoicing
- Any other duties assigned by the bookkeeper/controller based on the workload or the organizational needs
Other
- Minimum of 2 year general accounting experience
- Strong skills in Microsoft office
- Strong attention to detail. Very well organized.
- Willingness and need to learn new things and develop.
- Great interpersonal and customer service skills.
- Excellent verbal and written communications skills.
- Ability to multi-task, prioritize and manage time to ensure deadlines are met.
- Works well with minimal supervision
- Personality: Willing to learn and can-do attitude, meticulous, team player, flexible and quick learner.
