The Payroll and Benefits Administrator, who will be reporting into the Financial Controller, will be responsible for bi-weekly payroll processing, payroll related payments/queries, month end processing, onboarding and maintaining the payroll files/ employee personnel files, as well as supporting all efforts tied to reporting. Additionally, you will support with administrating group benefits, serving as the main point of contact for employee questions.
This individual will also be supporting US new hire onboarding.
What you will do- PAYROLL
- Execute, validate and perform necessary tasks to complete accurate and successful bi-weekly employee payroll in ADP
- Manage vacation and sick time accruals in payroll system and ensure all time off request are processed in-line with payroll cycle
- Complete all incoming employment verifications and work with Business Partner to gather and submit employee record requests, subpoenas, and other documentation requests.
- Audit payroll and rectify any processing errors, time card issues, missed wages, manual checks, and other exceptions in a timely manner
- Manage and administer auto allowance program to all employees eligible for auto and mileage reimbursements
- Process new hires, terminations, and employee changes in payroll system timely and maintain accurate and up to date personnel files
- Ensure appropriate approvals are provided and documented before changes in payroll occur
- Prepare bi-weekly management reporting
- Ensure end of year compliance for payroll and tax compliance
- General filing and administrative duties that relate to payroll and benefits management
- Provide assistance as requested to stakeholders, finance and HR team
- Benefits Administration
- Administer health, ancillary, and retirement benefits including enrolments and terminations. Process required documents through payroll and carriers to ensure accurate record keeping and payroll deductions
- Serve as resource to employees by answering benefits related questions; liaise with benefits brokers and carriers to maintain vendor relationships
- Support and coordinate annual open-enrolment process for benefits
- Coordinate Long Term disability requests and maintain record keeping and leave tracking as appropriate
- Manage monthly benefits reconciliation ensuring accurate billing/invoicing and benefit coverage
- RRSP administration; ensure employees are enrolled timely or opt out as requested, liaise with TPA to ensure accurate account maintenance, conduct necessary audits as needed
- Ensure all SOPs related to benefits administration are up to date and complete
- Ensure end of year compliance
Our Ideal Candidate- Minimum 3-5 years of experience in a similar role
- Knowledge in payroll tax, income tax and multi-province experience
- Knowledge in group benefits plans
- Strong communication and organizational skills
- High school diploma or equivalent required; BSc/BA in business, accounting or relevant field is a plus
- Trustworthy with attention to confidentiality
- Outstanding organizational ability with great attention to detail
- Excellent communication skills
- Exquisite math and numerical skills
- Solid understanding of accounting fundamentals and payroll best practices
- Knowledge of legislation and regulations of the field
- Proficient in MS Office and good knowledge of relevant software (e.g. Paylocity) and databases
- Previous experience working with ADP WFN and/or Paylocity would be considered an asset
- Ideally is bilingual in English and French
